Reference and verification checks

If you give the reference-check consent requested on the application form, we may contact the landlords, employers, income sources and references that you identify. We may ask them to confirm information relevant to assessing the rental application.

This consent does not authorize unrestricted social media searches, criminal-record checks or credit checks.

If a credit check or another materially different third-party screening process is proposed, you will receive additional information and be asked for separate express consent before it is performed.

Service providers and disclosures

We use service providers to operate this application. Current providers include Render for application and database hosting, Cloudflare R2 for private document storage, and Resend for transactional email delivery.

These providers receive or process information only as needed to provide their services, maintain security, troubleshoot the system, or comply with applicable law.

Information may also be disclosed when required by law, to protect legal rights, or with your consent.

How information is protected

Administrative and technical safeguards are used to protect application information. These include encrypted HTTPS connections, private document storage, password-protected administrator access, access logging, restricted document downloads and controlled deletion.

No system can guarantee absolute security. Applicants should submit only information reasonably required for the rental application.

Retention and deletion

Applications are assigned a review or deletion date. The default retention period is 180 days, but it may be shortened or extended where reasonably necessary for the application, a resulting tenancy, dispute resolution, legal requirements or another stated purpose.

Information that is no longer required will be securely deleted from the active application system and private document storage.

Access, correction and withdrawal of consent

You may contact us to ask what personal information we hold about you, request correction of inaccurate information, or ask questions about how your information is handled.

You may withdraw consent for future optional uses, subject to legal, contractual and reasonable-notice limitations. Withdrawing consent needed to verify or assess an application may prevent us from completing the review.
